What is Generative AI?

Generative Artificial Intelligence (Gen AI) refers to digital tools that can create new content such as text, images, code, video or presentations in response to user prompts.

Examples include AI chatbots, writing assistants, image generators and presentation tools.

Gen AI tools are increasingly used in professional and academic environments. KOI recognises that Gen AI may support learning, teaching and administrative activities. However, use of Gen AI must align with KOI’s expectations for academic integrity, confidentiality and professional conduct.

This guidance applies to both students and staff.

What can you use Gen AI for at KOI?

  • For students

    Where permitted by your subject coordinator and assessment instructions, Gen AI tools may be used to support learning activities such as:

    • brainstorming ideas and planning assignments
    • summarising lecture materials or readings
    • improving writing clarity, structure and grammar
    • creating study notes or revision questions
    • exploring explanations of complex concepts.

    Students remain responsible for ensuring submitted work represents their own understanding and academic effort.

  • For staff

    Academic and professional staff may use Gen AI tools to support activities such as:

    • drafting teaching materials, case studies and discussion questions
    • preparing presentations or teaching outlines
    • drafting communications or internal documents
    • supporting research planning and topic exploration
    • assisting with routine administrative tasks.

    Staff must ensure that the use of AI complies with KOI policies and protects confidential information.

Benefits of using Gen AI

When used responsibly, Gen AI tools may help users:

  • clarify complex ideas
  • explore alternative perspectives
  • improve writing clarity
  • develop research questions
  • generate presentation or project ideas.

Gen AI should support learning and productivity but must not replace independent thinking or original work.

Issues, problems and limitations of Gen AI

Gen AI tools may produce:

Students and staff must verify all information using credible academic sources and KOI Library databases.

Do not use Gen AI for research searches

AI chatbots should not be used as the primary method to locate academic sources.

Instead, students and staff should use:

Gen AI-assisted vs Gen AI-generated work

  • Gen AI-assisted work

    AI tools support brainstorming, editing or learning, but the final work remains the student’s own.

  • Gen AI-generated work

    AI produces substantial portions of the work itself. Submitting AI-generated content as your own work may constitute academic misconduct.

    Students must follow instructions in the subject outline and advice from the lecturer or subject coordinator.

Restricted uses of AI tools

  • Do not upload confidential information

    Students and staff must not enter confidential information into AI tools, including:

    • student personal data
    • assessment submissions or exam questions
    • internal KOI documents
    • staff or student records
    • confidential research data.

    Many AI tools store prompts on external servers, which may create privacy risks.

  • AI use in assessments

    Unless explicitly permitted by the lecturer or subject coordinator, students must not:

    • submit AI-generated assignments as their own work
    • use AI tools during examinations
    • fabricate references using AI tools.
  • Restricted AI tools and platforms

    Some AI tools may present risks relating to privacy, data security, intellectual property and academic integrity. For this reason, certain uses of AI platforms may be restricted at KOI.

    Students and staff should exercise caution when using AI tools that:

    • store user prompts and uploaded data externally
    • collect personal or institutional information
    • generate fabricated academic sources
    • allow uploading of confidential documents or assessment materials.

    Examples of commonly used AI platforms that require careful use include:

    • ChatGPT
    • Claude
    • Gemini
    • Midjourney
    • DALL-E

    These tools may store prompts and user inputs to improve their systems. As a result, users must not upload confidential or sensitive information into these tools.

    Restricted information includes:

    • student personal information
    • exam questions or assessment materials
    • internal institutional documents
    • confidential research or partnership information
    • staff or student records.

    Where AI tools are used for teaching, learning or administrative tasks, users must ensure they comply with KOI privacy, IT and academic integrity requirements.

Generative AI guidance for teaching staff

KOI recognises that generative AI technologies are increasingly used by students. Teaching staff are encouraged to design learning and assessment activities that promote responsible and transparent use of AI tools.

Academic staff should consider:

  • clearly stating whether AI tools are permitted, restricted or prohibited in each assessment task
  • designing assessments that encourage critical thinking and independent analysis
  • requiring students to acknowledge AI use where appropriate
  • discussing responsible AI use with students as part of academic integrity education.

Where AI tools are permitted in coursework, staff may require students to:

  • disclose how AI tools were used
  • verify and reference sources independently
  • demonstrate their own analysis and interpretation.
